Submission and Image Permissions

Version 1.0 · Effective date 2026-09-27

1. Who this document applies to

This document applies when you upload a photograph, video, image, text or other work to an international NEW LEGENDA service operated by SUNSARA GROUP (PTY) LTD, registration number 2026/579917/07, registered at 89 George Street, Suite 2168, Cape Town, Western Cape, 7140, South Africa (“NEW LEGENDA”, “we” or “us”). Contact: sunsarasuvorova@gmail.com.

It explains the permissions needed to receive and assess a submission and the separate choices for public display or promotion. It should be read with the International Championship Participation Terms, the applicable Championship Rules and the Privacy Notice.

2. Rights in your work

You keep the copyright and other rights you own in your submitted work. Uploading a work does not transfer ownership to NEW LEGENDA.

You confirm that you created the work or have authority to submit it and grant the permissions described here. You are responsible for ensuring that your submission does not unlawfully use another person’s work, confidential information or personal information.

3. Permission required to administer and assess a submission

When you submit a work, you grant NEW LEGENDA a non-exclusive, worldwide, royalty-free permission for the period needed to administer the relevant service to:

receive, store, make secure working copies of, and technically process the submission;

show it to authorised administrators and the judges assigned to assess it;

use it for eligibility checks, judging, moderation, result administration and any review permitted by the applicable Rules;

provide your submission, its assessment record and result to you in your account; and

retain the relevant records for the period described in the Privacy Notice or required by law.

This permission is limited to operating the service you requested. It does not permit NEW LEGENDA to sell your work, license it to sponsors, or use it in advertising.

4. Optional public gallery display

If the submission form offers a separate Public Gallery choice, you may choose whether the submitted work can be displayed in the specified public gallery for the named Championship or stage. The form must explain whether the choice is optional or required for that particular category, award or audience-voting feature before you submit.

Where the choice is optional, declining it does not prevent closed assessment or access to your result. A work not approved for public display remains available only to authorised people who need it for the service, subject to the applicable Rules and law.

Public gallery display means that visitors may view the work without signing in. Visitors may capture or share information they can see. NEW LEGENDA cannot control independent copies made by third parties, but will address removal requests for content on channels it controls where appropriate and required by law.

5. Optional promotional use

Permission to use a work for promotion is separate from permission to enter a Championship and separate from Public Gallery permission. If we ask to use a work in a NEW LEGENDA promotional post, website feature, press material or social media post, we will describe the proposed use and obtain a separate affirmative choice before that use, unless another lawful basis applies.

Promotional permission is non-exclusive and does not transfer ownership. It covers only the stated use, channels and period presented with the choice. We will not treat silence, submission, a general acceptance of website terms, or acceptance of this document as permission for promotional use.

Where a promotional use requires attribution, we will follow the attribution choice presented in the permission form. We will not imply that you endorse a product or service unless you separately agree.

6. People shown in a submission

If a submission identifies or depicts another person, including a model or client, you must have the authority and permissions required for the uses you select. Permission from the submitting participant does not automatically grant permission on behalf of the person shown.

The upload flow must provide a separate model or client permission process before any public gallery display or promotional use of an identifiable person’s image. That process must describe the purpose and channels and record who gave permission, when, and for which uses. If you cannot confirm the necessary permission, submit the work only through a route that allows closed assessment without public display or promotional use, if available.

Do not submit an image of a child for public display or promotional use unless the required permission is obtained from a parent or legal guardian and the relevant service expressly permits the submission.

7. Experts’ recommendations and judging

Invited experts may receive access only to selected works assigned to them and only to prepare recommendations within the platform. No recommendation is promised for every work or participant. Expert contributions are unpaid and carry no commission, discount, certificate or other benefit. Recommendations are moderated before publication. The participant and judge see a published recommendation without the expert’s identity; authorised administrators retain the author information for moderation and records.

Experts may not copy, download, publish, share or use assigned works outside the recommendation process. Judges may use assigned works only to assess the relevant Championship under its Rules. Neither access grants a licence for public display, marketing, teaching materials or portfolio use.

8. Withdrawing or changing a permission

You can change or withdraw an optional permission by contacting sunsarasuvorova@gmail.com and identifying the work, Championship and permission. You may also use the relevant account setting if available.

Withdrawal takes effect for future uses after we have a reasonable opportunity to process the request. It does not undo a use already made lawfully or require removal of an existing record needed for judging, results, legal compliance or dispute handling. For public content on channels we control, we will assess and action a removal request in accordance with the permission granted and applicable law. We cannot guarantee deletion of third-party copies, screenshots or shares.

Withdrawing optional public or promotional permission does not cancel a paid entry or affect a score. Any event-specific eligibility condition must have been clearly disclosed in the relevant Championship Rules before payment.
